Application Instructions

Complete the entire application. Do not leave any section blank as incomplete application will not be considered.

Application due by April 1, 2017.

Please submit photos of your work. Write your name and “2017” on each photo. If requested, photos will be returned the day of the fair. Please do not send samples.

Include Payment: Checks payable to Glenmont PTA.

Please write your company name on your check. Your check will not be deposited until you are accepted. No postdated checks will be accepted

Exhibitor must sign to have application considered by committee

Waiver: I agree to not hold the Glenmont PTA, the craft fair committee or Bethlehem Central School District responsible for the loss or damage to art/craft entered in the show or articles used for display. I agree to be no part of any legal action against the sponsors or committee members of this fair. I have read the application and general information/regulations and accept all rules and regulations and agree to abide by the decisions of the promoter. My photographs/slides may be used for publicity. I agree to assume full liability for any injury or loss to me or my property or employees, and from any cause whatsoever while on the premises. I expressly release the Glenmont PTA and Bethlehem Central School District and any of their representatives from any and all liability what-so ever, of any loss or injury. I agree to pay for all legal fees and costs in any action arising from or during enforcement of this contact.

General Exhibitor Information and Rules

Cancellations:

  • Refunds will be made only if we can fill your booth with another exhibitor prior to 4/1/17.
  • There will be NO refund given if exhibitor fails to appear on the day of the event

Publicity:

  • Please include the Glenmont Craft Fair on your website and promotional flyers
  • The fair will be publicized via local news stations, community calendars, advertisements in local papers and school publications/websites as well as signage in local/regional venues
  • Exhibitor’s company names and booth number will be listed in our program and bucket auction item will be displayed along with your company name and booth number in the front lobby during the fair.

Booth Information:

Booth rates are $50 for a Single + Bucket Auction Item with a minimum $10 value and $100 for a Double + Bucket Auction Item with a minimum $10 value

  • Exhibitors are responsible for providing your own TABLES, LIGHTING, and ELECTRICAL CORDS.
  • Each exhibitor will be provided 2 chairs.
  • Exhibitors must provide a suitable, attractive display, support racks, stands etc. that must fit within the booth space purchased.
  • All safety precautions must be taken by exhibitors when setting up displays.
  • Exhibitors are expected to keep display area neat. Boxes and other materials must be hidden.
  • No exhibitor shall arrange their exhibit as to obscure or interfere with nearby exhibitors.
  • Exhibitors must display official booth number.

Check In & Set-up: 8:00am-9:30am

  • Exhibitors MUST check in at our hospitality table (located in the front lobby) BEFORE unloading and set-up
  • Exhibitors will be allowed to unload vehicles at the curb in front of the school.
  • ALL Exhibitors MUSTmove cars away from the front of the school to the Farm Family Parking lot next door to the school after unloading and prior to set-up. Parking is limited and we need all parking for shoppers.
  • Please present your bucket auction item by 9:30am at the hospitality table.

Designated Exhibitor Parking:

  • Please remove your car from the parking lot and do not park in the school parking lot. Parking at the school is limited and is needed for customer use.
  • Parking is available next door to the school at Farm Family parking lot.

Fair Hours:

  • Exhibitors are required to be present for the duration of the fair to sell his/her work to the public.
  • Exhibitors may not assign his/her contract for exhibit space or permit any other person to use part of such space without prior authorization from the fair committee.

NYS Tax ID and Booth Numbers

  • All exhibitors must display a valid NYS Tax ID # and their Glenmont Craft Fair official booth number during the fair.
  • The Sales Tax Rate for our location is 8% (Albany County).

Meals:

  • Complimentary coffee & bagels will be available to exhibitors until 9:30am
  • A lunch optionwill be available for purchase.

Clean up:

  • Exhibitors are required to clear their area and dispose of their own trash.
