Your item rate tender for the above cited work has been accepted on behalf of DDA at the rates, terms and conditions given below:-

1 Estimated cost: - Rs.6,55,280/- (Rs. Six Lac fifty five thousand two hundred eighty only)

2. Quoted amount: - Rs.7,12,430/-(Rs. Seven Lac twelve thousand four hundred thirty only)

4. Contractor %age: - 8.72% above

5. Time allowed: - 12 months.

The above said percentage will be applicable under Clause-12 of the agreement.

You are requested to attend the office of the undersigned along with a non-judicial Stamp Paper work Rs.50/-(Rs. Fifty only) to sign the agreement within seven days from the date of issue of this letter, failing which the award of work shall likely be withdrawn and entire amount of your earnest money shall be forfeited

You are also requested to contract the AE (E)-IV/ED-11/DDA to start the work at once. Please note that the time allowed for carrying out the work as entered in the tender form shall be reckoned from the 10th day after the date of issue of this letter.

SCOPEOF WORK AGAINST ITEM NO.1

1)Operation maintenance and servicing of control Air conditioning plant.

2)Operation, maintenance and servicing of package type air conditioning units for computer cell

3)Operation and maintenance of booster pumps and submersible pumps meant for central air conditioning plant.

4)MAINTENANCE

Maintenance shall include the following.

i)Servicing

ii)Oil, lubricate, minor spare parts & other consumable materials etc.

iii)Repairing during breakdown including dismantling repairing, reassembling etc. as required.

iv)Periodical check up/preventive maintenance etc. as per Annexure ‘E’

v)Labour for replacement of parts/repairs during breakdown of involved, spare parts/consumable materials. However shall be supplied by the supplied by the department except mentioned in Annexure ‘D’

vi)Servicing of pumps and motors i.e. greasing and fixing of gland dori.

vii)Off-season servicing as per Annexure ‘F’.

viii)Maintenance of filtration plant.

ix)Rectification of leakage in chiller and condenser lines.

x)Minor repair of flopper and dampers.

xi)Repair of all type of valves and strainers

5THE MAINTENANCE STAFF SHALL BE EQUIPED WITH THE FOLLOWING

i)Complete kit of tools i.e. meager, earth tester, tong tester, multimeter etc.

ii)Electric welding, gas pipe cutting, leaders etc. As required.

iii)Testing equipment required in testing of pressure velocity flow air as well meters for measurement of current voltage , power resistance, temperature etc. as required.

6.Labour for replacement of spare parts included but labour for replacement of compressor chiller condenser pipe line, cooling tower, valves in 4”/6” lines, motor AHU’s cooling coils in AHU’s control panel, power cable is not included.

7. Lifting and lower of submersible pump and rewinding of motors is not included.

8. It may defects is noticed preventive maintenance of otherwise, same shall be rectified if included within the scope of work, if not defect should be reported to Engineer-in-charge for necessary action.

9.The temp required to be maintained inside the computer room shall be 20C to 22 C & 27C & 20C for area be operated by Central Air Conditioning plant.

10.The Central Air conditioning plants shall be operated from March to November while package be units shall operated throughout the year as per the timing given

a) Central Air Conditioning Plant 7.00 AM to 9.00PM.

b) Package type units 8.30 AM to 6.30 P.M.

c) The central air conditioning plant shall be operated on all Sunday, Holiday except National Holiday Package units need not be operated on Sunday and Gazetted holiday. However in case package units are to be run on holiday prior intimation shall be given. But no extra payment shall be made if the central AC plant is to be operated beyond the prescribed timing the same shall have to operated within the quoted rates.

11) The tenderer shall have to depute the following staff for central A.C. plant.

a) Plant operators – 1 No. in each shift (total two shifts.)

b) Khallasi – 1 No. in each shift ( total two shifts)

c) Pump operator – 1 No. in each shift (total two shifts)

12)The tenderer shall have to depute the following staff for package type A.C. units.

a) Plant operators – 1 No.

b) Khallasi -0 1 No.

12(A)Minimum staff for breakdown, preventive maintenance.

Mech. – 1 No. in each shifts (total two shifts)

Electrician as an when required.

(B)Minimum staff for OFF seasons servicing

Mechanic – 2 Nos.

Khallasi- 3 Nos.

Electricians as and when required..

1)Before taking over the charge of the plants, the contractor shall ensure that the plants are in perfect working order. Any major or minor defects so noticed shall be brought to the knowledge of Engineer-in-charge immediately. Also on completion of the contractor period the contractor shall be responsible to hand over the plant to Engineer-in-charge or his authorized representative in perfect working order and any deficiency of noticed shall be made good or rectified before handing over the same within a period of one week. Failing which the deficiency so noticed will be intimated to the contractor & the work shall be got executed at his risk and cost.

2)The contractor shall initiate action immediately in case any break down is noticed or after getting the information to telephone or in writing.

3)All the dismantled material received at site during maintenance shall have to be returned back to the department except burnt winding wire in case of rewinding of motors, Compressors parts in case of re-operation of compressor of package type units and lubricants.

4)Any damage caused to the existing installation during execution of work, the same shall have to made good within the quoted rates.

5)The contractor shall increase the staff suitably for any repair/fault/break down to attend the same immediately.

6)The staff employed shall wear proper uniform and shall be given identity cards by the contractor displaying their names, father’s name address of the agency telephone No. etc. the cost of providing the material shall be borne by agency within the quoted rates.

7)If the operator/staff not present on duty amount to rest Rs.500/- per day shifted will be deducted from the billing of contractor.

ANNEXURE ‘D’

1)Isolator, HRC fuses, MCB’s phase )SP & TP) preventers contractor kits, ammeter and voltmeter, indicating lamps, push button, starter coil, overload relays, solenoid coil, auto panel fuses, filters for DG sets, nozzle, copper washers.

2)Thermometer, drive bolts and pressure gauges, oil temperature guage for DG sets

3)Lubricants such as compressor oil, grease, engine oil etc.

4)Gland dori bearings of all types, gland nuts & bolts.

5)Acid, caustic soda, etc. required for off-season servicing.

ANNEXURE ‘E’

A)FORTNIGHTLY

i)Check abnormal noise in C.T. fan, if any.

ii)Check noise in hearing of all pumps & motors.

iii)Check leakage in glands of pumps, valves.

iv)Check abnormal noise & vibration in AHU’s.

v)Checking of pressure difference & Temperature difference between inlet and outlet of AHU’s sanctioned & discharge pressure of pumps.

vi)Checking of protection devices installed i/c purge valve, check valve, flow switches, fire dampers, adjustment of supply air, fresh air, grill/diffusers etc. to suit the site conditions..

vii)Cleaning of air-filter with water pressure.

viii)Any other checks which Engineer-in-charge desire.

ix)CONTROLPANEL:-

a)Checking of proper cable connection and cable glands, thimbles.

b)Cleaning of contracts.

c)Checking of contacts.

d)Check proper fixing/working of isolating bar and handle.

e)HRC/rewireable fuses of proper rating

f)Check proper fixing of cover.

g)Check sleeving of bus bar.

h)Condition of ON-OFF push button/handles.

i)Checking of all level& condition of all incase isomersed starters.

j)Checking proper end termination in the connector box with suitable cable glands & lugs.

d)Check of fixing of cable & its abnormal hearing.

e)Check earth connections and earth resistance.

f)Check leakage of pipes & fittings.

A)QUARTERLY:-

1)Check on all motors & pumps If required,

2)Check of cooling tower-nozzles fills etc.

3)Check belt tension & alignment of belt drivers.

4)Clean AHU filter,

5)Clean sump tank of cooling tower & expansion tank.

6)Clean cooling coils.

7)Check setting & operation of protective & emergency operation devices.

8)Check leakage in units if any.

B)QUARTERLY:-

1)Clean all strainers.

2)Check of dampers in AHU’s ducts and fire dampers.

3)Check of insulation & earth tasting & resistance.

4)Cleaning of supply & return air grills/dampers etc. as required.

5)Cleaning of expansion valves, Y-strainers, liquid & suction line filters.

6)Check compressor control oil & refrigerant as required.

NOTE:-

1)In case of package type units only these items which are applicable shall be attended.

2)Record for preventive maintenance shall be kept in a separate, register duly signed by the supervisor mechanic.

DURING OF SEASON:-

AHU’s

1)Greasing of motor i/c replacement of bearing, if any.

2)Bolt tension setting/replacement, if any.

3)Checking of noise blowers.

4)Cleaning of filters.

5)Cleaning of cooling coils & fans.

6)Checking & cleaning of globe valve & gate valve etc.

7)Checking and of all adjustment instruments.

8)Cleaning & tightening of contacts.

9)Oiling and checking automatic operation of modulating motor.

10)Insulation tests & earth test.

11)Checking of fire dampers & fuseable plus & sound induct etc. as required.

COMPRESSOR:-

1)Compressor cleaning & servicing including replacement of standby motor.

CHILLER AND CONDENSOR UNIT:-

1)Descaling of all the chiller/condenser units, purge valve, gate valve, globe valve pot strainer, Y-strainers, chiller & condenser water line etc. as required.

2)Greasing & gland packing of gate valve etc. as required.

PACKING:-

1)Greasing of hearing of motors & pumps & replacement of hearing whenever necessary

2)Packing descaling of gate valve/check valve.

3)Glands packing & filling & replacement of worn out sleeve etc. as required.

4)Cleaning of strainer.

5)Checking of pressure gauge.

6)Testing of pumps against noise and leakage.

7)Insulation test.

8)Contact cleaning & tightening.

COLLING TOWER:-

1)Greasing of motor bearing i/c replacement if required.

2)Checking of alignment.

3)Cleaning nozzle/replacement as required.

4)Cleaning of ‘T’s sump tank i/c valve etc.

5)Insulation test.

6)Cleaning & tightening of electrical contacts.

CONTROL CONSOLE:-

1)Checking of all indication lamps &push button replacement etc. as required.

2)Testing & operation of all the AHU’s pumps set,

3)Testing & operation of cooling tower.

4)Insulation test.

PACKING:-

1)Cleaning and adjustment of grill/diffusers and dampers.

NOTE:-

1)IN case of package units, only these items which applicable shall be attended.

2)Record for preventive maintenance shall be kept in a separate register duly signed by the supervisor/mechanic.

3)Preventive maintenance check shall not be carried out during off-season.

4)The Off-season work includes above and any other job required bringing the plant in healthy conditions.

FOR PREVENTIVE MAINTENANCE OF D.G. SETS.

DAILY CHECK:-

1)Check distilled water in each battery.

2)Check oil level of each engine.

3)Check water level of each engine.

4)Check b-belt tension.

5)Cleaning of DG set control panel & its accessories.

CHECK FORNGIHTLY/MONTHLY:-

1)Check oil pressure of the each engine.

2)Check water temperature of each engine.

3)Check oil temperature of each engine.

4)Check the connection of electrical equipments.

200 HRS. OR 6 MONTHS:-

1)Change engine oil.

2)Change oil filter (Diesel M. Oil)

3)Check (record) oil pressure.

4)Lubricant in electrical equipment.

5)Drain sediment from fuel tank.

AFTER 400 HRS. OR 1 MONTHS:-

1)Change fuel filter element and check obstruction if any in oil line.

2)Check & adjust belt tension.

3)Check corrosion resistance element check coolant.

4)Check air piping and fuse connection.

5)Insulation & earth testing.
