How to use VicNet:

A Guide for Volunteers

Bob Jones Nature Center has gone paperless! BJNC introduced Volgistics in 2017. It is an online database that allows us to recruit, schedule, and manage volunteers. This new system will make scheduling your volunteer shifts much faster and efficient!

VicNet is an online portal that gives volunteers access to the Volgistics database. You can log onto VicNet from any device that has an internet connection.

VicNet allows you, as a volunteer, to:

  • View your schedule
  • Self-schedule
  • Receive news and messages
  • Check your service records
  • Update or correct your personal profile
  • Change your password
  • Receive text message updates and reminders if you opt in

You will have access to VicNet after completing a Volunteer Application. Volunteer Applications can be found on our volunteer webpage.

How to Log into VicNet

Scroll down to the bottom of the list and click the “VicNet” link.

We recommend saving this webpage to your “favorites” or create a shortcut on your desktop for easier access.

Login name field

Enter the email address that is associated with your Volgistics profile. This is the email that you used in your online application. If you use a different email address, you will not be able to log into VicNet.

Password field:

If this is your first time using VicNet, click on “Need a password?”. Enter your email to receive a link that allows you to set a password.

If you have forgotten your password, click on the “Forget your password?” link, enter your email, and follow the instructions to reset your password.

Navigating in VicNet

Now let’s tour VicNet and go over the basic purpose of each tab.

The Home Tab

The Home tab is the first window you’ll see when you open VicNet. This tab gives a quick snapshot of volunteerism at BJNC. You’re able to see news and announcements from BJNC, shortcuts to other tabs on VicNet, and your scheduled shifts.

The Mail Tab

The Mail tab in VicNet is where you can see messages (called Vic Mail) sent to you from BJNC. New messages appear on top, and a list of previously read messages appear on the bottom. The messages listed here with disappear after 2-4 weeks. Vic Mail is not frequently used at BJNC.You may receive messages on here that you don’t receive in your regular email. Because of this, be sure to check your mail tab once in a while.

The My Profile Tab

The Profile tab lets you see and update your personal information. Use this tab to update your address, telephone numbers, password, demographics, assignment preferences, and emergency contact information. You can even add a photo if you wish.

Before moving from one section to the next be sure you save your updates by clicking the button.

The My Schedule Tab

You are set up for self-scheduling, you can use VicNet to fill openings on the calendar. Otherwise, call or email ( ) to sign up.To self-schedule, click on a Help Wanted balloon to view openings. If you are able to schedule shifts, this tab also allows you view and print your schedule.

Follow the visual instructions for scheduling shifts.

If you need a copy of your schedule, just click the “Printable View” button. You can print this whenever you need to.

My Service History Tab

On this tab, you can view the number of hours you have volunteered at the Nature Center. You can view your service on a yearly basis, daily basis, or altogether.

Time Sheet tab

You may use the Time Sheet tab to ensure that your hours are recorded correctly. If you notice any mistakes on this take, please contact BJNC for help.

Account tab

Use this tab to change your password and opt in or out of text message notifications.

Make sure your password is secure and something you’ll remember.

Text message alerts are a great way for you to be informed of upcoming volunteer events, be notified of any last-minute changes, or be reminded of upcoming volunteer obligations.

This tab allows you to choose whether you want to opt in or out of text message notifications. Choose the options that are most convenient for you. You have the option to change these preferences at any time.

When you press the save button, this window will appear:

Press the “OK” button and your process will be saved. You should receive a text message on your phone.Respond “YES” to the initial text message to ensure that you receive updates in the future.

Frequently Asked Questions

Q – I have volunteered at BJNC as part of a group. Is my information already in there?

A – Unless you filled out an individual application, your information will not be in our system yet. Please fill out an individual application on our website if you would like to volunteer/track your hours individually.

Q – My parent signed me up to volunteer, and now I can’t get on my VicNet profile.

A – It is most likely that your account is associated with your parent’s email address instead of your own. Log into VicNet initially using your parent’s email. You can then change the email associated with your account under the “My Profile” tab. You can change your email under the “Contact Information” section.

Q – I volunteered here last year, are my hours recorded on Volgistics?

A – We have manually entered hours from 2016, 2015, and some of 2014. If you had hours recorded the paper “Volunteer Sign-in” sheets, then your hours should be appropriately recorded. If you think your hours were not recorded correctly, please contact the Nature Center for assistance.

Q – How do I find my PIN number?

A – Unfortunately you cannot find your PIN number on the VicNet system. When you get to the Nature Center, ask an employee to find your PIN number, they should be able to find it on the Volgistics database.

Q –What if I have to cancel my shift? What if it’s last minute?

A – If you need to cancel your shift, you can do so through the Schedule Tab on VicNet. We also ask that you call or email the Nature Center so we can plan accordingly. If you need to cancel you shift last minute, it is always best to contact the Nature Center via phone or email.

Q – How do I sign in when I get to the Nature Center?

A –

  • Find the iPad in the front entry
  • Open up the Google Chrome app; it should automatically open to the VicNet login page
  • Enter in your PIN, be sure to finish the login process (it will ask what shift you are here for, etc.)
  • !!!IMPORTANT!!! If you do not know your VicNet PIN, ask a BJNC employee. They will need to log onto Volgistics and find it under your volunteer profile
  • When your shift is over, log out of the iPad with the same PIN that you used to log in

Q - I forgot to log in and out! How do I make sure I still get my hours?

A – If you forgot to log in and/or out, your hours won’t be lost. Let a BJNC staff member know, preferably the Volunteer Coordinator. They can manually enter in your hours on your profile in Volgistics. Keep in mind, these hours will have to be verified by a BJNC staff member that saw you were here.

Q - I want to sign up for a shift that isn’t listed or different hours than the shift is assigned to.

A – If you want to sign up for a shift that isn’t posted, check with the Volunteer Coordinator. We make volunteer opportunities only available certain days in order to not overload our small facility. If you need to adjust the hours of the assigned shift, also check with the Volunteer Coordinator. We will try to be flexible to accommodate your schedule; keep in mind, that our volunteer needs are often based around the hours of programming.

Q – I need a paper copy of the hours I have served at BJNC.

A – You can print your hours off on the “Service History” tab on VicNet (see page 9).

If you do not have access to a printer, ask a BJNC staff member to print off your service history from your Volgistics profile.

Q – I have a paper to document my volunteer hours for an outside organization (National Charity League, Teen Court, college credit, etc.). Do I still need to use VicNet to log my hours?

A – Yes, we still require that you use VicNet. We keep track of all hours that are served at the Nature Center for reporting purposes. It is also beneficial to have a digital copy of volunteer hours in case your paper copy gets damaged.
