General release and acceptance of rules and regulations: I/We the applicant (s) have read the Rules and Regulations sent with this application/contract and we agree to abide by said rules. In addition, I/we, the applicant(s) do expressly release the Town of Denton, Caroline County Commissioners and Caroline County Council of Arts from any and all liability for any damage, injury or loss to any person or goods which may arise from the rental and occupation of exhibit space by the applicants (s) and agree to hold and save the Town of Denton, Caroline County Commissioners and the Caroline County Council of Arts harmless of any loss or damage by reason thereof. If accepted, I understand my entry fee shall not be refunded in the event that I do not attend or if all or part of the show is cancelled due to fire, calamity or any other act of God, public enemy, strikes, statutes or ordinances or any legal authority, or any cause beyond its control.

How to Apply:

1.  Complete, sign, and return the application before June 15, 2013. Make a copy for your own records.

2.  APPLICATIONS WILL BE ACCEPTED UNTIL July 15 unless all vendor spaces are filled. There will be a $20 late fee for applications received/postmarked after June 15, 2013.

3.  Make your check payable to CAROLINE County Council of Arts. If your work is not accepted, your booth fee will be returned to you with just notification and minus the $10 non-refundable jury fee.

4.  Send at least 3 current clear photographs or email photos of your product. Photos will not be returned. Please put “Summerfest photos” in the subject line.

5.  Send photos or a description of your booth.

6.  Mail to CAROLINE County Council of Arts., P.O. Box 292, Denton, MD 21629. Official confirmation will be sent within 10 days of receipt of your application.

Rules and Regulations

1.  Vendors will be assigned one 10’ x 10’ space, approximately 100 square feet. Self-contained trailers are welcome, but can not exceed the 10 x 10 space limits. The alternative is to reserve more that one 10 x 10 space. Space locations are assigned at the discretion of the Summerfest Steering Committee. Specific location assignments will not be made until after July 15, 2013. The Committee will consider the order in which the applications were received, special needs requests, utility service requirements, general festival composition, and returning vendor preference when completing space assignment plan.

2.  The vendor agrees to exhibit at their assigned location for the full duration of the two-day event: Friday, August 16 from 5 – 10 p.m. and Saturday, August 17 from 12 noon to 9 p.m.

3.  The vendor agrees to work only in the space assigned and is responsible for informing their staff of their space location and parking restrictions prior to the festival. No advertisements and/or political signs, banners, bumper stickers, etc. may be placed outside of the booth space on festival grounds.

4.  Wares must be handmade by the exhibitor. Exhibitors may sell only the types of wares indicated in his/her contract. Artisans are encouraged to demonstrate their craft at the show.

5.  No price changing can occur after the show starts.

6.  All exhibitors must be set up by 3 p.m. on Friday, August 16 and 11:30 a.m. on Saturday, August 17. Departure time is 10 p.m. on Friday and 9 p.m. on Saturday.

7.  Vehicles must be removed from the festival area by 3 p.m. on Friday and 11:30 a.m. on Saturday and parked in the designated parking area. Parking along the road is not permitted. Vehicles cannot re-enter the grounds again until 10 pm. on Friday or 9 p.m. on Saturday.

8.  Exhibitors are responsible for delivery, erection and removal of their booths and crafts. Exhibitors have 15 minutes to unload/load. Please park your vehicle offsite before proceeding with your setup.

9.  Pets and alcoholic beverages are not permitted on festival grounds.

10.  Exhibitors may not sublet portions of their booth to others.

11.  Exhibitor’s booths must not interfere with adjacent exhibits.

12.  Insurance for exhibitor, booth, and craft is exhibitor’s sole responsibility.

13.  Maryland sales tax is 6%. We are required to provide the state with a list of vendors, including name and address. If you do not have a permanent Maryland Sales Tax Number, you may call 410-767-6943 to obtain a temporary one.

14.  The Town of Denton Police Department will provide overnight security on the festival grounds from 11 p.m. to 9 a.m. on August 16 and 17. Vendors have the option of securing their booth products at the booth or storing their work in their vehicles.

15.  Caroline Summerfest is a themed event. This year’s theme is “Silver Dollar Anniversary”.
