JOB DESCRIPTION

Job Title: Medical Office Assistant / FLSA Status: Non-Exempt/Hourly
Department: Medical Support / Location: All Locations
Reports to: Office Manager / Supervises: None

Job Summary: Maintains office operations by receiving and distributing communications; maintaining supplies and equipment; serving customers.This person must be able to multi-task and function in a fast-paced environment all the while contributing to a positive environment for patients and staff and participating in problem-solving activities. The person holding this position assists in keeping the office running efficiently by performing clerical duties, such as answering telephones, photocopying, faxing, filing and providing quality customer service. This is a position of trust.

Communication: Good oral and written communication skills are required for this position. Information must be exchanged using tact and persuasion appropriately. The person in this position must be able to communicate with the clients, staff, and others; and contribute to a positive environment. The ability to communicate in Spanish, Creole, or both is a plus.

KeyResponsibilities:

  1. Manages and maintains provider schedules as appropriate.
  2. Greets patients and confirms insurance information as well as patient demographics prior to notifying nursing staff of the patient’s arrival.
  3. Collects patient payments.
  4. Collects current and valid patient identification to be scanned into the chart.
  5. Opens and closes Practice Management (PM) payment batches.
  6. Clears no-shows, reschedules cancelled and bumped appointments in PM.
  7. Checks patients out, schedules diagnostic testing and specialty appointments as requested. Places a reminder in patient’s chart.
  8. Establishes new patient’s reason for visit and distributes the appropriate patient packet of information and forms.
  9. Each day, prints out the next day’s fee tickets.
  10. Follows up on referrals to ensure clients are keeping the appointments as scheduled.
  11. Requests medical records from other providers and tracks to ensure that recordsare received in a timely manner.
  12. Processes medical record requests by providing faxed or mailed copies to patients and other physicians or institutions.
  13. Answers incoming calls and calls patients to remind them of upcoming appointments.
  14. Greets visitors, vendors and directs them to the appropriate staff members.
  15. Performs other duties and responsibilities as assigned.

Education & Training:

  1. High school diploma or GED required, college degree preferred.
  2. Must be cross-trained in electronic medical records, scheduling software and Microsoft Outlook.

Experience:

  1. One to three years of progressive work experience in a business office setting.
  2. Level 2 background clearance required.

Physical Requirements:

1.The ability to stand, sit, and walk for extended periods of time

2.The ability to lift objects greater than 20 pounds

3.The ability to communicate using written and spoken words

4.Must demonstrate visual and auditory acuity

5.Must have all necessary vaccinations

6.Annual PPD
