A Guide to a Successful Select Try Out

PRE- TRY OUTS

1Setting the Dates

The Tryout Dates are determined based on three factors:

1)Dates allowed by WYSA rules. Also, the deadline to have WYSA team registered.

2)Field or complex availability – QQO and/or Riverview

Coaches and Managers of existing high school level teams can plan their own date, and schedule parent volunteers to check their players in, as well as make requests for any evaluators required. High School level teams can request specific club support as needed.

2Setting up on-line registration

The on-line registration form should be set up by the Web Administrator, the Club Registrar and the Select Administrator to ensure accuracy and ease of use by the player’s parents.

1) The registration should follow the new age group calendar year WYSA guidelines.

2)The verbiage in the registration should have the goal/intent of Select Try Outs.

  • The primary intent of the Select Try Outs is to provide a more competitive level of soccer for those players and coaches that are determined develop to their skills and abilities to higher degree.
  • The Select Tryouts also offer players the opportunity to test their abilities against the most talented players in their age level.

3)Select player expenses should be clearly communicated and available on website under “Select”.

4)The PSC Board should determine the Select Try Out fee per player.

5)Periodic registration lists should be pulled and shared with the potential select coaches, as well as the Select Oversight Committee. Registration list information should include player name, and level based on birth year. Coaches and the Select Oversight Committee receive lists every two weeks during the registration period, with a final list provided before try outs.

3Promotional materials

The Select Try outs should be promoted in the following ways:

1)Local newspapers (determine what markets will reach and bring in the most players).

Traditionally, PSC has placed ads in the Plymouth Review, Sheboygan press, Ozaukee Express and the Fon Du Lac Reporter. A stronger emphasis should be in the Elkhart Lake, Kiel and New Holstein areas. *

2)A banner and posters hanging on the QQO soccer concession stand throughout the spring soccer season is also helpful. The banner and posters should be very clearly exhibited during the PSC U10 Lakeshore Tournament.

3)Tryout Flyer packets handed out to the PSC Lakeshore teams by the coaches. This flyer should be distributed with parking pass at PSC U10 Lakeshore Tournament.

5)Email blasts about the Try outs sent from the VP of Communications

*The financial cost/budget should be discussed with the Club Treasurer.

4Select Coaches applications

The DOC will send, via the VP of Communications to all PSC Coaches, the link for the Select Coaching applications. The application will be linked to the PSC Website. This should be done in April/ beginning of spring Lakeshore season.The Web Administrator.

At the top of the Select Coaches application will define the requirement of both a WYSA F and E license to coach at the Select level. Links to the WYSA website to view course description and upcoming classes will also be included. We will also have a brief description of the travel and practice commitment of a Select Coach.

The DOC will review the Select Coaches Application to determine coaches by age level and qualifications for coaching. The DOC may bring applications to the review with the PSC Board in order to get more feedback about the coaches’ abilities.

5EVALUATIONS/ SCORE CARDS

The DOC is responsible for developing and printing copies of the Evaluations/ Scorecards. These will be made readily available at the QQO Soccer Concession Stand prior to the Select Try outs.The Evaluations/ Scorecards have simple but clear instructions in the upper left hand corner of the scorecard as to how to fill them out.

Also, Clip boards and pencils will be made available for the evaluators.

6FIRST AID KIT/ ice packs / balls / cones / scrimmage vests/ Fields

The PSC VP of Fields and Equipmentwill make sure:

  • First Aid kit and ice packs are readily available during the Try outs.
  • Make sure coaches know that they need to bring their own practice balls, cones and scrimmage vests
  • To communicate with the QQO Complex Manager will have the grass mowed to a suitable level.

7EVALUATORS

The DOC is responsible for having evaluators lined up for the Try Outs. The evaluators will be directed to find the Evaluations/ Scorecards in the QQO Soccer Concession Stand and asked to read the simple but clear instructions as to how to fill them out (located in the upper left corner of the score card). The evaluators can be directed to which ever field may need them by any PSC Board member, volunteer or other evaluators.

*The evaluators have traditionally been treated to delivered pizza and soft drinks by the Club on the last day of Try Outs.

8New Select Coaches format instructionand drills

The DOC will be responsible for instructing new Select Coaches, prior to the Try Outs, of the format for the Try Outs and supply the most time efficient drills for the players to be evaluated on based on the Evaluations/ Scorecards criteria.

9PLAYER NUMBERS

The Select Administrator will have player numbers available with safety pins to attach to the players jersey (Front and Back). The Player will be given two duplicate numbers to be attached to their jerseys on the front and the back. This will be theplayer’s number throughout the Try Out period and will be linked to both the evaluation/scorecard as well as their Select registration.

The player numbers will be distributed at check-in by the Registrar or Select Try Out volunteer at the QQO Soccer Concession Stand.

10FIELD SIGNS

The DOC will have field signs attached a goal for each field being used other than the stadium field at QQO. The ages will be assigned for the first day of Tryouts by the DOC prior to the beginning of Try Outs.

The coaches directing the drills can agree with other coaches to switch fields for different drills.

Example: A U11 Select age group coach would like to run a shooting drill on a U10 / U12 field due to proper goal size after they are done with small sided games on a U8 field.

11 INFORMATIONAL NOTE FOR PARENTS/PLAYERS

A brief note will be made available for parents/players letting them know:

  • that they will be notified of the Try Out results within 10 days of the last day of the Try Out period.
  • that the player has 24 hours after being offered a roster spot to accept or decline the roster spot.
  • Parents are invited to stay during try outs if they stay near parking lot or concessions area. Players, evaluators, and coaches are the only members that can be on or near the try out fields.

This note should be on PSC Website under “Select”. A hard copy (created by Select Administrator) will also be made available at the time of check in by the staff volunteering at the QQO Soccer Concession Stand.

DURING TRY OUTS

12 coaches run the drills/ evaluators “evaluate / score”

The coaches will run the drills for the Try Outs. They can use the drills provided for them by the DOC or use their own. The coaches will have the evaluation form to reference as to what skills the Evaluators are looking to score.

The evaluators will follow the instructions located in the upper left corner of the score card. The score cards will be given to the Select Administrator after each day of the Try Out

Parents or outside people are not allowed to be near the try out fields during the try out session.

13 CHECK IN / WALK-UP REGISTRATION / FIELD DIRECTION

These procedures will be handled by the volunteers guided by the Registrar and Select Administrator.

Check in procedure:

Select admin will arrange for 2 volunteers to be present 30 minutes prior through 30 minutes after try out periods.

Two stations will be set up (Boys/Girls) with the sign in sheets and numbers prepared in advance by select admin.

Players will check in at the desk, sign in on the sheets set up by “YEAR BORN”. They will be provided their 2 numbers for front/back, along with safety pints. Players should be informed that they should wear their same number for all sessions of try outs, and they can take them home.

A hard copy of the information sheet will be available upon check in. (Same as on website)

Late Registrations can be considered by a coach for a late try out, if roster spots available. A late registration player can not be offered a roster spot over another player that had signed up on time. Walk up/Add On registrations will be done on paper, added to sign in sheets, given numbers, info sheet, and receipts provided. They will be manually put into the on line registration system by volunteers or select admin at a later time. Fees will be collected, totaled at end of night by volunteer or select admin and sent to treasurer for deposit. High School boys don’t kick off until spring. There will be some that ask to join before February. They still need to register as a late, pay the fee, and then coach can consider allowing a late try out if roster spots are open.

Field Direction:

The volunteers in the QQO Soccer Concession Stand will direct players to the pre-assigned Try Out field for their particular age group. The DOC will have supplied the Try Out field assignmentsprior to Try Outs.

POST TRY OUTS

14 Evaluation/ scorecards tabulated, ranked and sent to the coaches

Tabulation:

The evaluation scores are tabulated and averaged for each player within an age group. The player # and name are then matched along with their score.

Evaluation tabulation, ranking and emailing to the coaches can be done by any one of the board members that is on the Select Committee that year. Note: These individuals are not allowed to tabulate their own children’s/ nephew/ nieces scores in fairness. Coaches will be given the players in their age category, ranked from top to bottom, after pulling out coach’s children as the first ones. Coaches will also be given all evaluator comments that were collected during try outs.

15 coaches decide on final roster/ contact players/ recruit a manager

The coaches have ten days from the last day of the Try Out period to finalize their team’s roster. The Select Committee has final oversight before coaches tentative rosters can be approved, led by the Select Coordinator. The Select Committee is made up of at least 3 board members, and can include the Select Coordinator, Select Administrator, Director of Coaching, Club Registrar, and the coaches for the category being determined.Committee could have an optional 1-2 other board members if not enough other board representation is available,

Coaches should always take the best players on the team. PSC DOES NOT DISCRIMINATE BY ZIP CODE!!

IMPORTANT!

COACHES FOLLOW THESE STEPS IN ORDER:

1)Head and Assistant coach’s children automatically make roster first. (max two coaches for this rule). Then, top 50% of scores make team. Final 50% are coach picks. IE: if roster max is 14, Head and Asst children are 1 & 2. Then, the top 50% of remaining roster spots must be filled with top scorers. (so the top 6 of the remaining 12 spots). In this example, the final 6 players on roster are coach picks out of all that tried out.

2)Coaches are allowed to make decisions that are not exactly in line with the 50% rule if a player’s attitude or commitment have been poor in the past.

3)Contact players that made the roster and extend an offer for a roster spot. The player has 24 hours from the time of the offer to accept/decline the offer. Note: an extension to the 24 hours can be granted to a player due to unique circumstances. This is the coach’s discretion keeping in mind that all players must be contacted, including those being cut, within 10 days from the last day of Try Outs.

4)If all players accept the offer for a roster spot, the coach can contact those that didn’t make the roster and give them some feedback as to what to work on based on the score cards.

5)If a player declines the offer for a roster spot, the coaches should determine the next highest ranked player to offer a roster spot to.

Select Administrator and DOC-

In the event that there isn’t a sufficient number of players to create a roster or a coach has not applied for an age group, the Select Administrator and DOC will contact those players and let them know that PSC will not have a Select team at that age level.

New Select team coaches should identify a team manager prior to Select Tryout. The Select Administrator will guide the new team managers in their role.
