  1. PREAMBLE

The College strives to have a professionally attired workforce that take pride in their work, and their appearance as well as to bring about and maintain as far as practicable, a work environment that is safe and without risk of health to its employees. It is thus the policy of the College to provide certain protective clothing/uniform to staff identified in clause 3 of this policy.

  1. PURPOSE

2.1To establish a uniform/protective clothing policy for designated staff members as described in 1 above.

2.2To inform staff and managers of the policy so that they can implement/ monitor compliance.

2.3To endure consistency in purchasing of uniform/protective clothing across the College.

2.4To maintain professional appearance, easy identification and protect employees’ private clothing from excessive dirt or wear.

2.5To prevent transmission of infections and to protect employees from harmful chemicals.

  1. SCOPE OF APPLICATION

The policy provisions shall apply to all employees ofthe College who are appointed as Drivers, Handymen,
Cleaners, Farm Workers, Kitchen Aids and stores officers appointed on permanent orcontract basis.

  1. DEFINITION OF TERMS

5.1Uniform means similar/identical clothing worn by employees as prescribed by the employer within their place of work and/or during working hours of work.

5.2Protective clothing is a type of clothing worn by employees, as prescribed by the employer in compliance with Occupational Health and Safety Act, in order to keep safe from any harmful conditions that employees may be working under.

  1. POLICY STATEMENTS

6.1Staff in listed under clause 3 of this policy must wear clean, pressed uniform/protective clothing appropriate for area of work. Uniform should be worn correctly, with no unauthorized adaptation or alteration.

6.2Wearing of the College uniform/protective clothing items when not on duty is prohibited.

6.3Employees in the College specified under clause 3 of this policy are required to wear uniform during their employment and are permitted to wear them to and from work.

6.4Employees issued uniforms under this policy are responsible for keeping their uniforms clean, repaired and laundered.

6.5The College logo must be displayed at all times in uniform/protective clothing issued by the College.

6.6In addition to uniform/protective clothing, the College will provide protective accessories (for, example) gloves for handling chemicals.

  1. PROCEDURES FOR PURCHASING AND REPLACEMENT OF UNIFORM/PROTECTIVE CLOTHING

7.1Human Resource Unit is responsible for the implementing and maintaining of the uniform/protective clothing policy.

7.2Uniform/protective clothing (whichever is applicable) shall be purchased for staff identified in clause 3 of this policy.

7.3Employees will receive uniform items clause 9 once per year. Every new financial year as long as this policy remains in effect, employees may request replacement and/or purchase of uniform/protective clothing. Employees so requesting must submit the requested to be replaced to the Centre Manager or employer’s designated representative.

7.4The Centre Manager will inspect and recommend/approve the replacement of worn out items.

7.5Uniform components to be replaced will be purchased in accordance with established procurement policy/procedures in the College.

7.6Employees must submit their size measurements to the Centre Manager or designated official on request of uniform and should also assist in the purchasing of the uniform should that be necessary.

  1. ROLES AND RESPONSIBILITIES

RESPONSIBLE PERSON / ROLE/RESPONSIBILITY
Executing Authority/Head of College / Maintain as far as reasonably practicable a, a work environment that is safe and without risk to the health of the employees
Managers, Supervisors and other designated employees / Inspect and recommend/approve the replacement of worn out items.
Ensure that uniform components to be replaced will be purchased in accordance with established procurement policy/procedures in College.
Employees qualifying for uniform / Submit the items requested to be replaced to the Line Manager or employer’s designated representative.
Submit their size measurements to the Line Manager or designated official on request of uniform and should also assist in the purchasing of the uniform should that be necessary.
Keep their uniform/protective clothing clean at all times.
  1. MONITORING AND EVALUATION

10.1The Human Resource component (Logistics) will review the policy on annual basis. The College Procurement Committee will continuously monitor compliance to the policy.

10.2The policy shall be reviewed annually. In the event the policy is amended, the amended policy or provisions thereof will supersede the previous one.
