·  Symposium chairs – Abstracts due April 1, 2018. Please invite symposium participants to submit abstracts by then. – Denise / Yolanda to look into old website content- needs to be forwarded to new website address.

o  Sarah to double check IAEG’s shortcuts.

·  Young at Heart- venue: Morley- Student / Young Professional event- Rick Kolb has been looking for a private room venue, walking distance from hotel.

o  Possibility- Mission District event (easy access by public transit)

o  Budget: about $2,000 pre-paid appetizers (50-100 people)

o  Need local helper to scout locations- spend 30 mins to gather suggestions.

§  Pete’s Tavern, Pedro’s Cantina, Tonga Room at the Fairmont, Pagan Idol- tiki bar.

·  Scott- any updates from IAEG meeting in Kathmandu? (not on call)

Abdul: Paper drafts are in- we have received 186? First reviews due December 31, 2017.

·  6 volumes (Abdul handling 3, Kerry has 3), reviewers have been assigned. 67 reviews completed, 15 from both reviewers.

o  If you’re a reviewer- please get these done early.

o  We have some papers that deal with geochemistry- **need reviewers for geochemistry / hydrogeochemistry, low temp geochemistry.** please submit names & email addresses of potential reviewers to Abdul Shakoor

·  Do we need any more reviewers?

o  Complicated process: Reviewer is invited & needs to register within Springer system before paper review is assigned. Some reviewers have not yet registered within the Springer system. Needs to accept review of each paper individually.

o  If you Login once- agree within each volume to review paper, then papers are assigned & all show up once you’re logged in.

·  Springer Contract negotiations in progress: (Greg, Sarah, Abdul, Kerry, Scott should meet offline – last negotiation point is timing on when electronic version of proceedings will be made available)

·  Electronic copy of proceedings- availability on either USB or free download link (prefer Springer get us proceedings in time to put on USB drives)

o  Should keep considerable cost of doing this in mind

o  Heather to reach out to previous USB “loading company” for cost & timeframe needed, based on 1,000 USBs

Still need:

·  Symposium Chair for Landslides- received 88 abstracts for papers (not sure exactly how many draft papers were submitted- expected to be a popular topic) 46 papers on slope stability, case histories, landslide mapping, and emerging technologies. Possible multi-day symposium? Sarah to follow up with list of names from previous meeting.

o  Emerging Technologies symposium (UAV, Lidar, etc)- Thomas Oommen chairing this.

o  Landslides Symposium potential chairs: (list from above) and also Paul Santi / Jerry Higgins, Hilary Whitney agreed last meeting, Scott Burns?

§  Sarah to contact.

·  Cynthia: needs from EC?; send latest budget numbers; visa questions / procedure for this. (Greg Hempen to sign Springer contract, Heather will send latest budget to Cynthia, we have a visa letter request system on website- applicants need to request visa 4-5 months in advance, AEG has added this meeting to the US State Department list of official meetings which might make applications easier to be granted)

·  Short Courses: yes we have 2 confirmed short courses- in the past few years, many of the short courses have been canceled. Morley, Heather, Sarah – okay with limiting to 2 courses.

·  Registration to open this week (EC requests that committee take a final look at registration form & get final essential changes completed).

o  Register early to have best Wednesday field course selection- many have limited space, all are outstanding. Thank you Chase, Drew, Coralie and the Field Course leaders!

o  Need reviewers for this process- Kerry to provide a response to Abdul on this. Reviewers have been assigned for 3 volumes. 2 reviewers per paper. Springer bug: reviewers getting emails invited to review papers, but access has not been granted within the system. Today is deadline for assigning reviewers.

o  Suggestion- let Kerry Cato / Abdul Shakoor know if you prefer NOT to be a reviewer (maybe AEG Foundation members?). Bill Godwin also volunteers to help.

§  Scott has a list of IAEG reviewers: IAEG is meeting this week and can provide a list following their Kathmandu meeting. 50+ potential reviewers.

§  Symposium chairs- expected to review papers, will be involved in the process in setting final symposium content

§  Abdul / Karen to provide names & titles of papers submitted once this info is compiled in a few days.

·  Call for Oral & Poster presentation abstracts: now open, closes April 1, 2018

·  Symposium chairs:
