Site Host Organizer Information

Robofest is an annual autonomous robotics contest for 5th – 12thgrade students. Robofest provides an environment for students to design, construct and program their robots while learning problem-solving techniques, mathematics, logic, creativity, physics, electronics, mechanics, teamwork, algorithmic thinking, and computer programming. Students may compete invarious ways: mission-based Games, Exhibitions, andVision Centric Challenges.

In order to reachmore students who would like to learn about science, technology, engineering, and mathematics (STEM) through playful autonomous and intelligent robotics, Lawrence Technological University (LTU) is looking for LocalQualifyingSite Hosts for Robofest 2014. Being a Site Host provides great visibility for your school or organization. It is an opportunity for you to showcase your facility, staff, and students to prospective students and their parents, major media outlets, and thecommunity at large. Robofest Local Qualifying competitionsare half-day (4 hour) events.

LTU provides approved Site Hosts with the following, free of charge:

1. Promotion of your organization as an official Site Host for Robofest 2014

  • Official posters with your organization’s name recognized as an official Site Host & Organizer provided the site host agreement is made by November15, 2013.
  • Logos, web links and other information from your site, your organization, and even your local sponsors posted at .
  • Recognition of your site in the Official Robofest 2014 DVD.

2. Information management

  • Team and volunteer registration on the Robofest web site allowing Site Host access.
  • Administrator account to help recruit and manage site volunteers, and access team & volunteer information.

3. Event preparation

  • Provision of game-specific official playing field materials for your site.
  • Check list and floor plan to help you set up your competition site.
  • Judge training for your volunteers on-site at LTU. Webinars, video conferencing, streaming videos, and DVDs are all available to help train judges as well.
  • Hard copies or electronic Excel scoring forms for judges and overall competition scoring.

4. Event support

  • Official Robofest banner for site display along with general signage including directional yard signs, event signs and team table signs.
  • Judge and volunteer T-shirts and small gifts for registeredSite volunteers----1.5 times the number of teams (i.e. for 10 teams Robofest will provide 15 volunteer gifts and T-shirts).
  • Name badges for all registered students, coaches and volunteers.
  • A plaque of appreciation from LTU for your organization.

5. Student recognition at your site

  • Personalized certificates for every student registered in the Robofest registration system.
  • Participation medals for all students at the local qualifying event.
  • Winner trophies for 20% of the teams registered at your site.

As a Site Host, you and your organization would be responsible for the following requirements:

Observe all competition rules as an organizer in order to guarantee the quality of the Robofest 2014competition.

Provide a safe and secure environment with adequate space and facilities, including tables, seating, and electricity for the on-site competitions to take place.

Provide judges and volunteers to help run the on-site event. Volunteer responsibilities include setting up playing fields, checking in teams, proctoring, time keeping, competition judging, tabulating judging results, presenting awards to winners, clean-up, etc.

Prepare an on-site program flyer that recognizes LTU as the overall Robofest organizer and official sponsors of the Robofest 2014 Competition

Provide Robofest headquarters with a timely report indicating all winners, including those who advance to the next level as well as a group picture with the Robofest banner.

Local Qualifying competitions will be held beginning in February,2014 until mid April, 2014.

Team advancement:

  • The number of qualifying teams eligible to advance will be decided by Robofest headquarters and provided to hosts in advance of their competition.
  • Qualifiying teams from the United State, Canada, and Mexico will advance to the North American Championships to be held at Lawrence Technological University. North American Championships is tentatively scheduled for Saturday, May 3, 2014. This year the Robofest World Championship will be held in Daegu, South Korea on May 30-31, 2014.

Site Host Application and Letter of Agreement

  1. All organizations/sites desiring to host a Robofest competition must complete the attached Site Host Organizer Application Form complete with hosting & organization information, by November15, 2013.
  2. If you are a new site, after receiving your application, a LTU Robofest official will contact you regarding a possible visitto your site whereLTU will discuss further detailsinvolved with site hosting.
  3. After site approval, an official Letter of Agreement will be drawn up by LTU and signed between both LTU and the approved hosting site. LTU will make an official announcement of your site hosting after the signing of the Letter of Agreement.
