Overall Purpose

The Assistant Property Manager (APM) is the professional in charge of assisting the General Manager (GM) in all aspects of owner and tenant satisfaction. Of specific importance is establishing good relations with our tenants, service team and the community

Essential Functions

Tenant Services

  • Maintain accurate resident records, including leases, maintenance requests, renewals, and all other tenant correspondence.
  • Monitors tenant activities for compliance with lease terms.
  • Preparation of all tenant correspondence including lease renewals, late payment notices, and 5-day demand letters.
  • Preparation and execution of security deposit refunds
  • As required, inspect properties to ensure adherence to property standards as well as to prepare for new tenants.
  • Maintain courteous communication with the residents, applicants, and representatives of other companies.
  • Responsible for a positive and prompt response to requests from building tenants and to constantly assess tenant needs and assure problems are being solved promptly and to the mutual benefit of the tenant and the properties.
  • Conduct service follow-ups with resident when maintenance jobs are complete.

Leasing

  • Work with the GM to ensure that all lease renewals are processed in a timely manner.
  • Maintains an awareness of local market conditions and trends. Contributes ideas for marketing the properties and improving resident satisfaction.
  • Manage the day to day activity of the leasing staff
  • Assist GM in leasing and marketing efforts to achieve 97% occupancy
  • Coordinate advertising, special events, promotions, and mailings.
  • Review all resident applications. Manage the tenant move-in/move-out process with the GM.
  • Respond to all lease-related concerns
  • Maintain and supervise a lease renewal program following the properties’ and management company’s guidelines and goals.
  • Maintain a regular program for business outreach for prospects.
  • Update daily reports concerning notices to vacate, vacancy reports, and activity reports.
  • Assist the leasing agents in marketing vacant space.

Maintenance

  • Work with GM to schedule make-ready work with the maintenance team and to ensure apartment units are available and ready for scheduled move-ins.
  • Complete service requests and work orders with the GM to ensure that all maintenance requests are taken care of in a timely manner. Conduct service request follow-up with residents when job is complete.
  • Support the GM in the selection of contract services, vendor negotiation of service agreements, and day-to-day monitoring of vendor performance.
  • Manage the property professionally, personally, and with spirit, building a sense of community so that the tenants want to be there.
  • Conduct periodic inspections of assigned buildings and associated grounds, visiting each building and preparing a written report at least monthly; initiate action to correct janitorial and maintenance deficiencies noted during these inspections.

Administrative

  • Update vacancies and upcoming apartments listing daily.
  • Prepare materials with the company attorney regarding legal proceedings and attend eviction proceedings.
  • With the GM develop and implement the annual Operations Budget for the assigned assets to be presented to owners and financial partners by October 30th of each year.
  • Maintain knowledge of lease agreements
  • Proofread all lease paperwork and process move-ins and move-outs.
  • Participate in key community associations, city organizations, and Property Management-related groups.
