Board Meeting Minutes

Call to Order

Coach Laird welcomed the board back and expressed enthusiasm about the upcoming season.

Status of 2015-16 Season

  1. Meet schedule has been finalized and is on the website.
  1. Officials have been scheduled
  1. Meets have been sanctioned
  1. Campbell has a new athletic director who supports the swim and diving team having its own booster club.

Team Meeting

  1. The team meeting (for parents and athletes) will be Wednesday, September 16, at 4:00pm in the auditorium. It will last about 45 minutes.
  1. Laird will use the website as a guide, reviewing the upcoming season, dues, volunteer opportunities, required forms, important dates, discipline, etc.
  1. Angela Rogers-Schuster to speak on Rebecca’s behalf, as she will not be able to attend.

Try Outs

  1. Try outs for new swimmers will be Monday, October 19 at 4:00pm & Tuesday, October 20 at 6:30pm.
  1. There will be regular practice those days for returning swimmers.
  1. There will be minimum times for swimmers this year, meaning not everyone will make the team.

Meet the Team

  1. Lisa Brown suggested instituting a Meet the Team gathering once the team has been finalized.
  1. The meeting is an informal gathering of parents and athletes to review the upcoming season and let parents know what to expect.
  1. Tables will be set up for volunteer opportunities, paying dues, ordering swag, camping trip details/signing up to chaperone, carpooling for practice, required forms, fill remaining board positions, etc.
  1. Traci Abel will bring ipads and/or laptops so parents can register and/or pay dues. She will also bring squares so parents can pay for swag.
  1. Pizza and cake will be provided.
  1. Meet the Team has been scheduled for Thursday, October 22 at 5:00pm, hopefully in the cafeteria.
  1. Lisa offered to coordinate the event.

Volunteers at Meets

  1. Laird emphasized the importance of volunteers at home meets.
  1. Campbell is hosting 6 home meets, which require 20 Campbell volunteers each for a total of 120 volunteers.
  1. For the rest of the meets (9 total), Laird is required to provide 3 volunteers for a total of 27 volunteers.
  1. Meets that Campbell will share hosting responsibilities (2 total) will require 10 volunteers each, for a total of 20 volunteers.
  1. Post-season meets (3 total) require 5 volunteers for a total of 15 volunteers.
  1. We will need a total of 142 volunteers for the season.
  1. Parents will be requested to volunteer for at least 2 meets.
  1. Seasoned volunteers will stand with/coach new volunteers until they feel comfortable with their volunteer positions.
  1. Volunteers will receive a free t-shirt.
  1. Rebecca to create a cheat sheet for gate workers with a list of passes describing who can get in with what type of pass.
  1. Entry fees will be $5 for adults, $3 for students. Children 6 & under are free.

Volunteer Deposit

  1. The board discussed collecting a $100 per family volunteer deposit at the beginning of the season to ensure parents completed volunteer commitments.
  1. If volunteer requirements are fulfilled, the check is destroyed. If they are not fulfilled, the $100 is deposited in the Booster Club bank account.

Sherry Morgan spoke with the soccer team treasurer. They institute this policy. It works like a charm and they only had to deposit one check.

Spirit Wear

  1. Angela Rogers-Schuster will serve as spirit wear coordinator.
  1. Our new swim gear vendor is American Swim Supply
  • They have all of our team information, including logos, so the transition should be seamless.
  1. Team t-shirts
  • Have been bulk ordered
  • Will be tie-dyed by Angela
  • Ben Kirk has submitted a design. It is in the final rounds of edits.
  • Should be available for Meet the Team on Tuesday, October 22
  1. Warm Ups
  • Laird has bulk ordered
  • They will be embroidered
  • Athletes will not receive their warm-ups until their dues are paid
  1. Towels
  • Angela will pursue team towels as a fundraiser. Towels will be tie-dyed embroidered.

Website

  1. Website has been updated to include registration, meet schedule, required forms, etc.

Next Board Meeting

  1. The next board meeting will be Tuesday, October 13 at 6:00pm.
