Job Title:Programme and Administration Co-ordinator (Intern)

Salary: £16,777 per annum (37 hours per week Annualised Hours).

Responsible to: CEO.

Context

Lincoln Drill Hall has been owned and managed by the Lincoln Arts Trust Ltd since October 2010. Since this time the venue has seen huge successes both artistically and organisationally.

Purpose of Post

The Programme and Administration Co-ordinator (Intern) post is a new post created to support a graduate from the University of Lincoln with a 12-month fixed term employment. The post will support staff across the organisation to ensure a dynamic programme of artistic and corporate events is delivered, whilst supporting other wider administrative functions.

Principal Responsibilities:

Programming.

  1. To support the CEO in the production of an exciting and varied year-round programme of performing arts performances in our auditorium, café bar and studio space.
  1. To produce contracts for visiting performances at the venue under the direction of the CEO.
  1. To be the first point of contact for artists, companies and performers programmed at the venue for queries, paperwork and performance specifications.
  1. To ensure that all marketing materials, print, image and video are received and shared with the Marketing and sales departments.
  1. To ensure that any technical specifications are received and shared with the production department.
  1. To ensure that any food riders are received and shared with the café bar.
  1. To book any accommodation for artists/performers/companies as required.
  1. To ensure that online room booking systemsare up to date with all performances.
  1. To attendand provide advice/opinion at programming meetings.
  1. Occasionally to attend go and see events on behalf of the venue.
  1. In liaison with Box Office team and CEO to produce and issue event reconciliations to artists for the purposes of invoice settlement.
  1. To support co-programmed work and commissions produced with partners in the Lincolnshire One Venues Network.
  1. To liaise with our café bar music booker to ensure that our café music sessions are programmed and contained within our diary.

Participation.

  1. To support co-ordination the participatory activities of the venue, liaising with artists and providers and ensuring all such activity is booked into the venue. Examples of such current activity include: Fishtank Youth Theatre, Happy Mondays Club, Full Bloom Dance class, Hartbeeps Music, Take Part In Art, Tiptoe Theatre sessions, Dreamland Drama.
  1. To support co-ordination of the venue’s role in delivery of bespoke participation projects – current projects include Splash, The Butterfly Effect, ACE Outreach Programme, LOV Youth Music Programme.
  1. To liaise with freelance artists and workshop leaders as required.
  1. To ensure that all departments are aware of participatory activity and have the right tools and information to carry out this work – Including copy, print, tech requirements etc.

Administration.

  1. Under direction of the CEO, to ensure that invoices are processed and uploaded to our Payment system.
  1. To liaise with and support the General Manager in the smooth delivery of corporate room bookings.
  1. With training and under direction of the CEO, to ensure accurate daily banking records for the trust are maintained.
  1. Assist with the delivery of mailing communications.

General.

  1. To be familiar with key corporate marketing and communication messages.
  1. To attend team marketing meetings to input into strategy.
  1. To deliver strong customer service in any customer facing activities.

Person Specification.

  • A Graduate from the University of Lincoln.
  • Some knowledge or awareness of the current UK Arts Sector.
  • Strong IT skills especially on Microsoft 365 packages.
  • Excellent verbal and written communication skills.
  • Good problem solving skills.
  • Good logistical and planning skills.
  • A calm demeanour.
  • Experience of a customer orientated environment.
  • A passion for Lincoln Drill Hall and its activities.
  • Ability to multi-task.
