ADMINISTRATION INSTRUCTION

EXERCISE BAYONET 2009 – MONTREAL, PQ

Aim.

1.The aim of this document is to outline the administrative arrangements for Ex BAYONET 09, to be conducted at the Delta Montreal in Downtown Montreal, Quebec, 21 to 24 May 2009.

Host Unit.

2.The host unit for Ex BAYONET will be The Black Watch (Royal Highland Regiment) of Canada. The OPI for the event will be, Captain Derrick Farnham, the Admin O,for the Black Watch Armoury.

Exercise Facility.

3.Ex BAYONET 09 will be conducted at the Delta Montreal, 475, avenue du President-Kennedy,Montreal,Quebec, in the heart of Montreal’s business district and only a short drive from the P.E.TrudeauAirport. All Exercise Events will be conducted in the Hotelor at the Black Watch Armoury. Map at Appendix 1.

Accommodations.

4.The following accommodations have been organized:

a.Rooms have been block booked at the Delta Montreal, 475, avenue du President-Kennedy, Montreal,QC,H3A 1J7. Participantsare recommended to book their rooms directly through the hotel using the following contact information: 1-877-286-1986. Specify “Ex Bayonet”.Bookings must be made by 17 April 09 to get the group rate and to ensure availability of rooms.

b.You must inform them that you are booking for Ex BAYONET 2009. The cost of a room will be $139.00, plus taxes. The Delta Montrealis the only organized hotel for this event. When you RSVP please indicate if your spouse/children will attend;

c.VIPs will be staying at the Delta Hotel. All reservations for pers identified as VIPs will be coordinated through CaptFarnham. You will be notified of your room reservations before arriving for the exercise; and

d.Special requirements, such as smoking/non-smoking rooms, must be specified to the Administration Officer when confirming attendance. Hotel check in time is 1500 hours and check out time is 1200 hours. Requests for early or late check out may be made at hotel reception upon checking in. Be advised, requests do not guarantee that the hotel will provide a late check out, which normally does not extend beyond 1500 hrs.

Transportation.

5.Transportation to and from P.E.TrudeauAirport will be available using the Hotel shuttle at $15 per person or $25 round trip. All delegates are requested to annotate their expected arrival times and locationson the registration form at appendix 2. Taxis may be used; however, the cost would be approximately $40.00, one way. Vehicle rentals are a delegate’s own responsibility. Parking at the hotel is $25 per day. There is no parking available at the armouries.

Meals.

6.The following arrangements have been organized to ensure a smooth flow to the proceedings:

a.Breakfasts. Breakfast is included in the cost of Registration and will be served in the vicinity of the Conference roomfrom 0700 to 0800 Hrs.

b.Noon Meal and Coffee Breaks. All lunches and coffee breaks will be provided to exercise participants in the meeting space areas at the Hotel. The cost will be covered by the registration Fees.

c.BAYONET Mess Dinner, 23 May 2009. The cost of the Mess Dinner on 23 May 2009 will be $90.00. The price of the Mess Dinner will be added to theExercise Fees during registration.

d.Participants with special dietary requirements must notify the Administration Officer when confirming attendance (Specifically for Mess Dinner).

Meet and Greet.

7.All Exercise participants are invited to attend with spouses the Meet and Greet at The Black WatchOfficers’ Mess in the Bleury Street Armoury (Appx 1), from 1900 hrs to 2200 hrs on 21 May 2009. Snacks and appetizers will be supplied and a cash bar will be available,sponsored by the Canadian Infantry Association.

Dress.

8.The following orders of dress are acceptable for the noted events:

a.Meet and Greet (21 May 2009). Jacket and Tie / Regimental blazer.

  1. Ex BAYONET 09 (22-23 May 2009). For serving military personnel – CADPAT. For non-military or retired military guests – business casual (shirt and slacks, no tie).

c.BAYONET Mess Dinner (23 May 2009). Mess Kit/Black tie.

Participant Attendance Registration.

9.Registration must be submitted to the Exercise Administration Officer no later than 17 April 2009. The registration form at Appendix 2 may be filled out and faxed, or completed electronically and emailed to the Administration Officer as per the following contact information:

Participation Arrival Registration.

10.Upon arrival in Montreal, all participants are required to register either at the Exercise Registration Desk located in the lobby of the Delta Montreal, or at the Bleury Street Armoury. The registration desk will be open from 1200 hrs through to 1700 hrs on 21 May 2009 and will move to the Bleury Street armouries and open between 1830 - 2100 hrs. The registration desk will be open each morning from 0700-0900 at the hotel. The registration desk will be prepared to accept your registration fees byCash or Cheque. Welcome packages will be distributed at the registration desk.

Trade Fair .

11.The CIA will host a Trade Fair during the exercise. The fair is completely under the auspices of the CIA, and is concurrent to the exercise. All exercise participants will have access to the Trade Fair during health breaks and between presentations. No special registration or financing is required to visit the venue. The Trade Fair will be set-up in the room adjacent to the exercise hall and will be open beginning the morning of 22 May through until the end of business on 23 May.

Finance.

12.The Exercise will not make money so all costs charged are a direct breakdown of what the cost to the unit will be. Please ensure that you complete the registration form accurately. The following Conference Fees will be charged to all participants based on registration:

a.Daily visitor rate (coffee breaks and lunch). $75.00. ($150.00 for the two days).

b.Mess Dinner. $90.00; and

  1. All participants must pay a conference fee to attend. Participation at the Mess Dinner is not mandatory.
