Whilst appreciating most of our delegates are seasoned travelers, having attended the forum a number of times I thought it would be useful to share some tips for getting ready for the trip, making the most of the opportunities on the ground and importantly following up.

  1. Delegation Promotion

Website Page –

To access on your PC or tablet, it is the second in tab after “Blog” as “Australian Delegation 2017.” On your mobile device hit the content square to access the tab.

It contains:

Postcard for Promotion - You will receive a supply of printed cards on Sunday evening to promote the delegation during your networking which has a link to our webpage.

What to wear

In Hong Kong business is quite formal. Conference and business sessions are corporate attire as you would wear in Sydney. Whilst it is winter in Hong Kong day temperatures are reasonable but many Hong Kongers find it quite cool and will be sporting scarves, especially for the evening. Temperature range for our stay is 15 to 22 degrees with 10-20% chance of rain so bring a brolly.

What else to bring

Business Cards – bring a box! It is typical to hand out your card straight away and there will be lots of networking at the conference and various events.

Hong Kong Dollars – taxis are cheap but they don’t accept credit cards so make sure you have some HKD. Try your local bank, but needing a relatively small amount you can do at Sydney Airport after you check in.

HK adaptor – whilst the hotel may provide one, it is useful to have your own, especially when out and about and with so many devices these days. If you haven’t purchased already, best place is Sydney airport duty free!

Arrival at Hong Kong Airport

MTR Card – after customs but before exit, there is a counter on the right where you can buy or refill your MTR Card. The train is the quickest and easiest way to get into town. Once at Central you can grab a taxi to your hotel.

SIM Card – I usually just buy a SIM for the duration of stay in Hong Kong. There are a number of places inside the airport terminal, or a bit cheaper are the Seven11 type shops in town. This will give you a local phone number so let me know the details. If going into China it is best to get a new card there.

Keeping Connected

WeChat – this is the easiest to communicate whilst overseas as it is essentially a free phone and video so you can use with family back home.Have set up a WeChat group and invited you all. You can also scan WeChat QR codes in addition or in place of exchanging business cards.WeChat is downloadable from the App Store – see my tips here:

Wi-Fi – available in most coffee shops, meeting rooms etc. There will be wi-fi at the AFF but given the volume can sometimes drop out.

  1. At the AFF Conference

Day 1 – Monday 16th January

Arrival – meet at the Harbour Road Coffee shop just inside the entrance of the Convention Centre at 8 am for a quick coffee. I will have your entrance badges and then we can head up the five levels of escalators for a quick group photo before entering the opening plenary.

Commencement of conference – first day opening session is very full so we will aim to be seated just after 8.30 am for 9 am start.

Meeting Place – with being the 10th birthday demand for booths was high so we don’t have a stand per say. There are a number of break-out areas and major sponsors such as PwC have offered to host. Will keep you posted at to the appropriate spot in the exhibition area, but make sure anything you bring, brochures etc. you can keep with you.

Lunch – this is a seated lunch which is located on another floor. Recommend leaving the previous session 5-10 mins early to make your way down the escalators. The first person to grab a table to inform the group via WeChat.

Evening Cocktail – 10th year celebration until 8 pm

Dinner – free to make own arrangements

Day 2 – Tuesday 17th January

Breakfast – suggest arrive by 8 am for 8.15 – seat anywhere for own networking

AFF App - make sure you have downloaded this from the App store – once your registration is completed you can start connecting with other delegates.

Arranging meetings – there are a number of break-out areas within the Convention Centreto have follow-up meetings with those you meet and the The Renaissance Harbour View hotel is attached to the complex. There are also gaps in out delegation itinerary to arrange personal meetings.

Capturing your learnings and insights –think about how you want to capture your notes for example on the conference App, via notetaking software such as Evernote, or bring a notebook and pen!Write blogs and articles from your notes, plus contentfrom the conference website for your clients and connections. Peter Black, delegate in 201s did regular blog posts which are on his website here:

  1. Following-Up

Business Cards- Make sure you make notes of anyone you meet that you plan to follow-up. It is very easy to get overwhelmed when meeting so many people. Bear in mind in many cultures it is rude to write on a business card. Consider using one of the business card scanner apps – this blog provides a good summary:

  • Send follow-up messages – via AFF App, LinkedIn, WeChat or email
  • Add to your CRM – track follow-up and let us know of any successes!
  • Write a testimonial – about the mission for our use in future marketing.

No sale of Financial Products – be aware there are different regulations governing sale and distribution of financial services, products and investments in Hong Kong. Therefore, unless you are licensed locally you cannot sell or promote financial products. Please ensure you have consulted your compliance advisor.

TERMS AND CONDITIONS

1. Dates:15th – 20th January 2017.

2. Delegation itinerary: The operators reserve the right to change the form and content of the program at any time without notice.

3. Delegate Fee: You agree to prepay the fee for attending the program. It is understood that this fee does NOT include travel costs (other than specified).

4. Travel Costs: You agree to organise and pay for you own airfares, hotels and other accommodation, some meals (other than those shown on the itinerary), and personal expenses including but not limited to shopping, sightseeing, hotel extras and/or other entertainment costs.

5. Insurance: You agree that you are responsible for investigating, organising and paying for personal travel insurance cover appropriate to your needs and circumstances.

6. Entry Visa: You will take responsibility for ensuring you have the appropriate documentation to enter Hong Kong and China for the required period.

7. Attendance and Participation: During the course of the Delegation Program, it may be necessary for the Delegation Leader(s) to give you instructions to ensure the enjoyment and safety of all delegates and you agree to follow these instructions at all times. You agree to attend all aspects of the Delegation Itinerary, to arrive on time for each, to dress appropriately (as advised by us) and conduct yourself in a fit and proper manner.

8. Nonsolicitation: We have an established network of professional contacts and associates to whom you will be introduced during the delegation. You acknowledge that this network is the intellectual property of Expat Advisors Community. You agree that if you wish to make contact with any individual you are introduced to during the delegation other than other delegates and those you meet at the Asian Financial Forum, you will advise us in advance.

9. Personal safety: You agree that we cannot be held responsible for any accident, injury or illness to you, or theft or the loss of your personal effects while on the delegation. You agree to take every precaution necessary to ensure your personal safety and that of your personal effects at all times.

10. Waiver of Rights: We may obtain video, photo and/or sound recordings of you participating in the delegation. You agree that we may use these at our sole discretion.

11. Cancellation Policy: We reserve the right to cancel the delegation prior to departure as a result of unforeseen circumstances or to ensure the personal safety of all participants. In this event, you will receive a full refund of all monies already paid.

You agree that if, for any reason, you cancel your participation in the delegation you will email your notice of cancellation to us at our email address (). You further agree that you will not be entitled to any refund of the Delegate Program fee which will have already been committed to bookings and activities. We will consider a request to transfer your registration to another person but retain the right to accept or refuse this request at our sole discretion.
