Event Information

Twain Harte’s Pints in the Pines will be held at Eproson Park in beautiful Twain Harte, CA on Saturday & Sunday of October 1st and 2nd, 2016.

Twain Harte is a short drive from downtown Sonora and in close proximity to Pinecrest, CA as well as Tuolumne, CA. Downtown Twain Harte is a beautiful, mountain town which house a plethora of shops with local flair and several restaurants each with their own distinct flavor and atmosphere.

Each year, Pints in the Pines draws a crowd upwards to 4,000 people from all over the region and across the state of California. Attendees gather to watch the events, live entertainment acts, and to visit the many local craft and food vendors lining the streets. Pints in the Pines is a well-loved Twain Harte tradition, and we look forward to many more years of gathering to enjoy this popular event.


Vendor Application Process

A vendor application is included in this packet of information. We accept a variety of food and craft vendors to participate, and we try to vary the items as much as possible for the success of the vendor as well as for the enjoyment of the attendees.

Please read all of the enclosed information regarding vendor rules and procedures for the festival before submitting your application. Complete page 4-5 of this packet and return to the listed address along with a check or money order for the booth fee, as well as all required attachments or photos. All submitted applications must be complete and have all required information and attachments to be considered. There is no set vendor deadline for applications; however, applications are accepted on a first serve basis, and with regard to products to be sold. Food spaces fill very quickly, so it is advisable to submit applications as soon as possible. Once your application is received and accepted, you will receive a confirmation email to let you know when vendor packets with all your event materials will be mailed to you.

Vendor Rules & Requirements

·  Meadow Drive (Eproson Park area) will be only open to through traffic on Saturday morning at 9:30 am until 5:00 pm and on Sunday at 9:30 am until 5:00 pm. Customers going to Twain Harte Golf Club & Mickey’s on the Green will be the only vehicles allowed through. Vendors with parking permits will be allowed through Meadow Drive to set up and tear down, but all products/equipment must be contained within your booth space and all vehicles must be removed as required.

·  The festival runs from 10:00 am to 5:00 pm Saturday and Sunday. Vendors are required to be open the entire show and must be present both days. No break down requiring vehicle access can take place until after 5:00 pm.

·  All booth spaces are 10’x10’ and will be clearly marked. The vendor must supply all tents, canopies, tables, chairs, ect and are responsible for them. Please be considerate of your neighbors’ space and do not encroach on other booth areas. All equipment must fit within the designated space.

·  Vendor sales are limited to the purchased booth space designated by the Chamber. Vendors will not be permitted to walk around the event selling merchandise, and no vendor will be permitted to relocate their booth at any time during the festival.

·  All vendors MUST have a valid California Sales Tax Number listed on the application to be eligible, regardless of the vendor’s residence location. Out of state vendors can obtain a temporary sales tax number from the CA Board of Equalization by contacting 1-800-400-7115 or online at http://www.boe.ca.gov

·  ALL FOOD VENDORS ARE REQUIRED TO HAVE A TEMPORARY FOODSERVICE ESTABLISHMENT PERMIT from the Tuolumne County Environmental Health Department in order to participate in this event. The application packet is available through the Chamber or through the Community Resource Agency, by contacting (209) 533-5633 or visiting their office at 48 Yaney Ave, Sonora, CA 95370. In order for your application to be considered for acceptance, you must submit a completed Temporary Foodservice Permit, event application and the money due to the Chamber. Tuolumne County Environmental Health will be on site to inspect booths during set up hours. Any booth shut down for lack of proper permit or health code violation will be asked to leave, and no refund will be given. Please contact Environmental Health at the Community Resource Agency.

·  Electricity is NOT provided to any vendor spaces; unless already established with the Chamber. Vendors needing electricity are required to bring their own generator, which must be 90 decibel or less.

·  Any kind of alcohol sales by vendors are strictly prohibited. Unless pre-authorized by the Chamber.

·  The Chamber reserves the right to limit vendor sales by item as it sees fit to ensure a variety of vendors and items are offered. Vendors must submit a list/menu of all items they wish to sell. The Chamber will compare items of all accepted vendors and limit accordingly to avoid excessive repeating items among vendors. Consideration to items allowed will be given in order of applications received, and vendors will be notified in their vendor packets prior to the event of any items they may not sell.

·  A photo of your booth setup and product MUST be included for your application to be considered.

Mandatory Liability Release & Acceptance of Conditions:

All photos submitted become the property of the Twain Harte Area Chamber of Commerce, and may be used in promotion with no compensation to the submitter or any other party.

By execution of the form, I/we hereby release the Twain Harte Area Chamber of Commerce, its employees, volunteers, officers, or anyone else connected with the event, of any and all known and unknown damages, injuries, and losses., judgements, and/or claims from any causes whatsoever that may be suffered by anyone participating in this event.

Vendor locations are determined on a first come, first serve basis, and the Chamber will assign spaces as it deems appropriate, based on products to be sold and the application was received. Requesting a specific space does not guarantee the space will be granted, but the Chamber will try to accommodate these requests as best we can.

The Chamber reserves the right to place vendors in any space it sees fit, and to refuse any vendor entry into the festival for any reason.

No refunds will be made for any reason, without exception. Vendor further understands that there is no guarantee of success of failure of individual vendors at this event, and that this is a rain or shine event.

By execution of this form, I/we do hereby agree to abide by all of the rules and regulations set forth for this event by the Twain Harte Area Chamber of Commerce and listed on pages 2 and 3 of this application packet, and understand that failure to do so will result in my ejection from the event with no refund as well as denied acceptance to future events.
